Invoices
Cancelling vs deleting an invoice
These are different on purpose.
Delete invoice
- Allowed only while the invoice is Draft
- Permanently removes the invoice
- Use when you created a draft by mistake and never sent it
Cancel invoice
- Allowed for Sent or Overdue invoices
- Sets status to Cancelled and locks the invoice
- Keeps a record that billing was voided
- Use when the client should no longer pay
Paid or refunded invoices
Core content stays locked. You generally cannot delete them; use refunds to reverse payment rather than delete. Some secondary fields (for example bank reference / evidence) may still be editable depending on the editor rules.
Choosing quickly
| Situation | Action |
|---|---|
| Never sent, created by mistake | Delete |
| Sent, but should not be paid | Cancel |
| Already paid, need to reverse money | Refund |
