Invoices
Processing refunds
Refund paid client invoices from the invoice editor when status is Paid and a remaining refundable amount exists. (Partial refunds keep the invoice Paid until the full amount is refunded; only then does status become Refunded.)
This is separate from Docora subscription refunds — see Subscription refunds.
Steps
- Open the paid invoice.
- Click Refund.
- Choose full remaining amount or a partial amount.
- Select a reason (for example Contract breach, Client dissatisfaction, Project cancelled, Duplicate payment, Billing error, Other).
- Confirm.
Stripe vs manual
- Stripe invoices: Docora issues a Stripe API refund against the payment.
- Bank transfer / other link: Docora records the refund for bookkeeping (“record only”) — you still reverse funds in your bank or PayPal/Wise yourself.
After a refund
- Partial refunds reduce remaining refundable balance; status stays Paid until fully refunded.
- Full remaining refund moves status to Refunded.
- Emails go to you and the client summarizing the refund.
- Proposal remaining billable balance accounts for refunds when creating further invoices.
This documentation is a living guide and may not cover every edge case yet. Features and labels can change as Docora evolves.
