Invoices
Invoice statuses and auto-overdue
Statuses
| Status | Meaning |
|---|---|
| Draft | Not sent yet; can be deleted |
| Sent | Shared with the client |
| Paid | Payment recorded (Stripe webhook or manual) |
| Overdue | Still unpaid past Docora’s overdue threshold |
| Cancelled | Voided; locked |
| Refunded | Fully refunded (partial refunds may keep Paid until remaining is zero) |
Sending
From the invoice editor, send to the client (email + public /invoice/{token} link) when ready. Status moves to Sent.
Auto-overdue
A daily job (around 08:00 UTC) marks Sent invoices as Overdue when they have been outstanding for 14 days (based on sent time, falling back to created time). You may also receive a one-time overdue reminder email.
“Needs attention” on the dashboard can flag stale Sent invoices earlier (~7 days) even before formal overdue — that is a nudge, not the same as the Overdue status.
Paid and refunded
Stripe Checkout completion (via webhook) sets Paid. Manual methods require you to record payment. Refunds are covered in Processing refunds.
This documentation is a living guide and may not cover every edge case yet. Features and labels can change as Docora evolves.
